A roundtable produces views rather than decisions, so the write-up has to be organised by what the room kept returning to, not by the order things were said. That is a document rather than a deck: theme blocks vary in length, some carry three quotes and some carry one, and the pages have to break wherever they land. The reader should be able to see the shape of the discussion in a couple of minutes.

Code the quotes to themes before you generate

The work that makes a good write-up happens in the data, not in the layout. Tag each quote to a theme and give each theme a one-line claim, and the document more or less assembles itself: a block per theme, its quotes nested beneath it, participants and follow-ups looping from their own rows. Doing it this way also makes a series comparable — run six sessions on the same question and you can count how often a theme appeared across cities, which is impossible when every write-up is prose in a fresh file. The usual failure is quotes that never got attributed to anything, leaving a document that reads like a transcript.

Common questions, answered

How is this different from meeting minutes? +
Minutes record procedure — who was present, what was decided, who owns each action. Roundtable notes record a discussion, so they are organised by theme rather than by agenda item, carry quotes as evidence, and are honest about where the room disagreed. If your session produced decisions and actions rather than views, the meeting minutes template fits better.
Where do the themes and quotes come from? +
From your own notes, held as records: a row per session, linked rows for participants, themes and quotes. Airtable, Google Sheets, a database, a CSV upload or an API all work. The coding of quotes to themes is editorial work you do once in the data, and the template then places each theme block with its quotes nested underneath.
Can quotes stay unattributed? +
Yes, and that is the usual arrangement for a roundtable run under the house rule that views are not attributed. Store an attribution field on each quote — a role and sector rather than a name — and the template places whatever that field contains. Deciding what may be published is yours to make in the data, before anything is generated.
Can I use our own write-up design? +
Yes. Build the master in Google Docs with your own cover, pull-quote style and typography, mark the variable parts as placeholders, and generate against it. Pull quotes are worth styling properly, because they are the part of a roundtable write-up people actually read.
