Board minutes are the record a company keeps of what its directors resolved, and their value comes from being uniform: the same headings, the same wording for a motion, the same attendance block, meeting after meeting. That is a document, not a deck. A meeting with one resolution and a meeting with nine produce different lengths, and the resolutions table has to grow and break across pages without anyone laying it out by hand.

Make each resolution a row

The block worth structuring properly is the resolutions table. Give every motion its own record — the wording put to the meeting, the proposer, the seconder, the vote and any abstention — and the minute lists them in order without anyone rewriting the sentence pattern each time. Attendance works the same way: a row per person with a status of present, in attendance or apologies, so the counts follow the data. What usually goes wrong is a minute copied from the last meeting where a director who has since resigned is still listed as present. Nothing carries over between runs, so that particular error stops being possible.

Common questions, answered

How is this different from ordinary meeting minutes? +
Board minutes are a governance record rather than a working one. They note who was present and whether the meeting was quorate, record the approval of the previous minutes, and set out each resolution with its proposer, seconder and the vote. For a team or project meeting, the plain meeting minutes template is lighter and fits better.
Where does the content come from? +
From a record per meeting in Airtable, Google Sheets, a database, a CSV upload or your own API, with attendance, resolutions, declared interests and actions as linked rows. That structure is what lets the resolutions table repeat a row per motion and the attendance block list directors, attendees and apologies separately.
Does generating the minutes make them approved? +
No, and it should not. What the run produces is a draft record built from what you entered. The board approves its minutes at the following meeting, and any correction is made in the data and the document regenerated, so the approved version and your records stay the same document rather than drifting apart.
Can I use our own minute format? +
Yes, and for a board you probably should — most organisations have a house minute with particular numbering, wording for resolutions and an attendance block. Build it in Google Docs, mark the variable parts as placeholders, and generate against that master. Anything your secretary or adviser wants the record to contain simply becomes another field.
