How this template fills itself

Connect Airtable, Google Sheets, a SQL database, a CSV or a REST API, map each field to a placeholder, and generate. One run can produce a single document or one per matching record.

Training certificates are issued in batches: a session finishes, and everyone on the register needs the same document with a different name on it. The layout is fixed by the awarding body or your own brand, so it belongs in Google Slides, where the border, marks and signature block stay exactly where they were placed.

Keep the register authoritative

These are branded certificate documents, not verifiable credentials — no verification page, no Open Badges, no view tracking — so the register has to remain the record that counts. Store attendee, course, standard, hours, trainer, reference and valid-until in one row and generate from it. That way an auditor asking who was trained on what is answered from the data, not from a folder of PDFs. It also makes the refresher run trivial: query the records approaching expiry, run the session again, issue the new certificates from the same template.

Common questions, answered

Do these certificates get verified online? +
No. These are branded certificate documents — Slides and PDFs. There is no hosted verification page, no Open Badges or digital credential issuing, and no analytics showing who opened a certificate. The authoritative record of who was trained stays in your training register, and the document is a printout of it.
Can I issue a whole session's certificates at once? +
Yes. Filter the training register to one session, site or date and the run produces a certificate per attendee. Because the register is the source, a correction to a name or a date is made there and the certificate regenerated rather than edited in a PDF.
Can I use my own training certificate design? +
Yes. Build the master in Google Slides with your accreditation marks, border and signature block, mark the attendee, course, dates and reference as placeholders, and generate against that. Awarding bodies usually specify where their logo and wording must sit, which suits a slide: the design holds exactly as drawn on every certificate.
How do expiry dates and refreshers work? +
The valid-until date is a field in your data, printed on the certificate. Generation can be scheduled, so a run each month can issue certificates for newly completed sessions, and your register remains the place you query to see who is due a refresher.
