A capability statement is the one-page leave-behind a contracting officer expects: what you do, what makes you different, what you have delivered before, and the identifiers that let someone find and award you — UEI, CAGE code, NAICS and PSC codes, set-aside certifications and your SAM registration status. It is a Google Doc because the content is dense text and short tables rather than a designed graphic, and because you will produce a lot of versions of it.

One record, many tailored versions

The mistake is treating the statement as a file to edit. Every time you approach a new agency you retouch the competencies, reorder past performance and hope nobody left an expired certification in. Hold it all as data instead — one company record, competencies and past contracts as rows tagged by agency and NAICS code — and each version becomes a filtered run. Codes and certifications are then correct everywhere at once, and the only judgement left is which five competencies lead for this buyer.

Common questions, answered

Can I use my own capability statement design? +
Yes. Build the page in Google Docs with your header, column layout and contact block, mark the competencies, codes and past performance as repeating placeholders, and generate against that. Contracting officers see hundreds of these, so a consistent layout you control is worth more than any template we could supply.
How do I keep it to one page? +
By capping the loops. Competencies, differentiators and past performance are all repeating blocks, so decide how many entries get placed — usually five or six competencies and three contracts — and order them in your data by relevance. A Google Doc will happily run to a second page if you let it, and for this document you should not.
Can I tailor a statement per agency or NAICS code? +
Yes, and this is the point of generating rather than editing. Tag each competency and past contract with the agencies or codes it is relevant to, then filter per row of your opportunity list. One run produces a statement per agency, each leading with the work that agency actually buys.
Where do the UEI, CAGE code and past performance come from? +
From your own records — Airtable, Google Sheets, a SQL database, a CSV upload or an internal system through a REST data source. The template places what you hold; it does not look anything up in SAM.gov for you. Keeping those fields in one record is what stops an old CAGE code or a lapsed certification surviving in a statement someone still has.
