A quote is a short document with one genuinely variable part: the list of what you are pricing. Everything else — your letterhead, terms, lead times, validity period — is the same on every quote you send. That is a good fit for Google Docs, where the line-item table repeats a row per item and the page breaks look after themselves, so the layout survives a job that turned out to need thirty lines instead of four.

Quote and invoice should share a source

The most common failure is a quote priced in one place and an invoice raised in another, so the customer receives two documents that disagree. If both read from the same record — same items, same rates, same tax treatment — the invoice becomes the quote with a different heading and no retyping in between. It also makes chasing easier: the validity date is a field, so you can filter to quotes expiring this week and regenerate or follow up on the batch.

Common questions, answered

Can I use my own quote design? +
Yes. Build the master in Google Docs with your letterhead, table styling and terms, mark the customer, line items and totals as placeholders, and generate against that. Nothing about the design is fixed by us — this layout is only a starting point if you do not already have one.
Does the line-item table grow with the job? +
Yes, and that is why this is a Google Doc rather than a slide. The table repeats a row for every item on the record and pages break by themselves, so a two-line quote and a forty-line quote both come out correctly laid out without anyone resizing anything.
Where do the prices and quote numbers come from? +
From your data: Airtable, Google Sheets, a SQL database, a CSV upload or your own system through a REST data source. The template places what you already hold rather than calculating it, so the quote and your records cannot disagree about what was offered.
Can the customer sign the quote here? +
Not in SourceToDocs — we do not do e-signatures. We generate the Doc and the PDF, and you send that on to the signing tool you already use. The acceptance block is part of the layout so that tool has a place to put its signature and date fields.
