An invoice is the clearest case in document automation: the layout never changes and the content always does. The only genuinely variable part is the line-item table, which is why this template is a Google Doc — the table repeats a row per item and the pages break themselves, so you never hand-fix a layout because a job had more lines than usual.

Keeping numbering and totals in the data

Invoice numbers, tax and totals belong in your billing system or base, not in the template. The document places them. That way the number on the PDF and the number in your records can never drift apart, and a correction is made once in the data and regenerated rather than edited in a file someone already sent.

Common questions, answered

Can I generate a batch of invoices in one run? +
Yes. Point the template at the table or query holding your billing records, filter to the ones you want to bill, and one run produces one invoice per row with its own line items and totals.
Does the line-item table grow automatically? +
Yes, and it is the reason this template is a Google Doc rather than a slide. The table repeats a row for every line item in the record, and pages break on their own, so a three-line invoice and a forty-line invoice both come out correctly laid out.
Where do invoice numbers and totals come from? +
From your data. The template places the number, dates, tax and totals you already hold in Airtable, Sheets, a database or your billing system. It does not calculate them, which keeps one source of truth for what a customer owes.
Can I use my own invoice design? +
Yes, and most teams do. Build the master in Google Docs with your brand, mark the fields as placeholders, and generate against that instead of this layout.
