An inspection report is a record of a specific visit, and its length is decided entirely by what the inspector found. That single fact settles the format: it has to be a document that flows, not a slide with a fixed frame, because a clean site and a failing one produce very different amounts of content from the same template.

Keep the findings register, not the reports

The mistake is treating each report as the record. Log findings as rows against a visit, with severity, action and owner as fields, and the document becomes a view of that register rather than the place the information lives. Then a follow-up visit can filter to the open items, a monthly summary can count them by severity, and correcting a typo means fixing one row and regenerating rather than editing a file someone has already filed.

Common questions, answered

Why is this a Google Docs template rather than a slide? +
Because the length is set by what was found. A clean inspection has no findings and runs to one page; a bad one has thirty and runs to six. A Google Doc repeats a table row per finding and breaks pages on its own, so both come out correctly laid out without anyone adjusting the layout.
Where do the findings come from? +
From wherever your inspectors already record them: an Airtable base, a Google Sheet, a form submission table, or a database behind a REST API. Each finding is a row, and the template repeats a block for every row belonging to that visit.
Can I generate a report for every inspection in a batch? +
Yes. Filter the inspections table to a date range or a site and the run produces one report per matching visit, each with only its own findings, rather than one document you copy and edit per site.
Can I use our own inspection form layout? +
Yes, and for regulated work you probably should. Build the master in Google Docs so it matches the form your standard requires, mark the fields as placeholders, and generate against that layout instead of this one.
